Step-by-Step Guide to Using Google Takeout

  • Go to Google Takeout:

  • Select Data to Export:

    • You'll see a list of Google services, like Alerts, Gmail, Drive, Photos, etc.
    • By default, all services are selected. If you only want to export specific data, click "Deselect all" at the top.

    • Scroll through the list and check the box next to the services you want to export data from (e.g., Gmail, Google Drive, Photos).
  • Customize Data for Each Service (Optional):

    • For some services, you can click the “Multiple formats” button to select specific formats (e.g., JSON, HTML, CSV, etc.).
    • For example, if you're exporting Gmail, you can choose specific labels or date ranges.
  • Click "Next Step":

    • Once you’ve selected the data you want to export, scroll to the bottom and click "Next step."

  • Choose Delivery Method:

    • You can select how you want to receive the data:
      • Send download link via email
      • Add to Google Drive
      • Add to Dropbox, OneDrive, or Box

    • Select your preferred option.
  • Choose Export Frequency:

    • Choose "One-time export" or a "Scheduled export" that will happen every 2 months for a year.
  • Choose File Type and Size:

    • Select the file type for the export, usually .zip (easiest to open), or .tgz.
    • Choose the maximum file size. If your export exceeds this size, Google will split the file into multiple parts (e.g., 2GB or 10GB files).
  • Create Export:

    • Click "Create export."

    • Google will begin preparing your data, which may take anywhere from a few minutes to hours or even days, depending on the amount of data you're exporting.
  • Download Your Data:

    • Once the export is ready, you’ll receive an email with a download link (or find it in the service you selected to save to).
    • Click "Download", and the file will download to your computer.

  • Extract the Files:

    • If you chose a .zip file, navigate to the downloads tab in your file explorer.

    • Right click on the .zip file that you downloaded and click extract all. Choose a location to extract to. You’ll now have access to your exported data, organized by Google service (e.g., Gmail, Drive, etc.).
